· Funds are being raised for child welfare charities serving Hertfordshire.

· Helping Herts will incur modest costs for Social Media and the Fundraising Platform. These will be deducted ahead of distribution.

· Funds collected will come under headings unrestricted, restricted to child welfare charities. Unrestricted funds will be divided equally between the child welfare charities.

· Methods used to raise the funding will be compliant with all current legislation.

We respect the personal data you share with us, or we receive from other organisations, and we will keep it safe.

This page informs you of our policies regarding the collection, use and disclosure of personal information we receive from our supporters. Our supporters are important to us and we will not do anything with your data that you wouldn’t reasonably expect. We will never share or sell your data to third parties.

By collecting personal data from our supporters, we are able to make better decisions and fundraise more effectively.

Where we collect personal data from

There are a number of ways that we may collect your personal information:

You give it to us directly

We collect your personal information when you make a donation, sign up to one of our events, apply to volunteer for us, sign up to our newsletter or contact us.

You give it to us indirectly

If you make a donation to us through an online giving platform such as Just Giving or Virgin Money Giving then these third parties will collect your data, and you should check their Privacy Policy when you use them to make sure you understand how they will process your data. When using these sites, you have the ability to opt-in to hearing more about the work of Rotary, and we will only process your data if you choose to opt-in.

Your personal information is available publicly

This includes information on websites, public social media accounts (e.g. if you tag us in an event photo), the electoral register and Companies House. This helps us to gain a fuller understanding of your interests as a supporter.

When you use our website, we collect your personal information using “Cookies” and other tracking methods. There are more details on our Cookie policy.

What personal information we collect and what we do with it

The information that we collect, store and use may include:

Your name and your contact details (including your email address, postal address and phone number);
Your bank or credit card information. If you make a donation online, your card information is collected by our third-party payment processors. These processors specialise in the secure collection and processing of card transactions. We will never hold your card information;
Information on whether you are a UK taxpayer for us to claim gift aid;
Your date of birth;
Details about how you found out about our work and your motivation for supporting us; and
Any other information that you openly share with us.

We do not usually collect sensitive data unless there is a clear and valid reason to do so and data protection laws allow us to.

We will always try to make it clear why we are collecting different information and what it will be used for.

Keep you up to date with our work and send you communications which may be of interest to you. This may include updates on our fundraising and volunteering opportunities and information on our events, appeals and campaigns;

How long do we hold your information for?

We only keep your information for as long as is necessary. We are legally required to hold some information for tax purposes, for example.

We take appropriate controls to make sure that your personal data is protected. We will never pass on your information to third parties. We also make sure that your data is only accessible to our trained staff and volunteers.

We may send you fundraising and marketing communications by post unless you have told us that you would not like to hear from us in this way.
